Personal data we process

Encis processes your personal data because you use our services and/or because you provide this data to us yourself. Below is an overview of the personal data we process (among others):

  • First and last name

  • Gender

  • Address details

  • Phone number

  • Email address

  • IP address

  • Location data

  • Information about your activities on our website

  • Internet browser and device type

  • Bank account number

Encis supplies and maintains hardware and software for its clients. This hardware and software can be configured by Encis clients according to their own requirements, enabling them to perform their services. Encis has no insight into the data recorded by its clients on or within the hardware and software provided by Encis.

Special and/or sensitive personal data we process

Encis does not process any special and/or sensitive personal data.

Purpose and legal basis for processing personal data

Encis processes your personal data for the following purposes (legal basis):

Processing your payment (Agreement)

Sending our newsletter and/or promotional materials (Legitimate interest)

Being able to call or email you if necessary to perform our services (Agreement)

Informing you about changes to our services and products (Legitimate interest)

Delivering goods and services to you (Agreement)

Encis also processes personal data if we are legally obliged to do so, such as data required for our tax returns.

Retention periods

Encis does not store your personal data longer than strictly necessary to achieve the purposes for which your data is collected. We apply the following retention periods for the following (categories of) personal data:

Application data: maximum 4 weeks after completion of the application procedure, unless we have requested your permission to store it longer (maximum 1 year).

Personnel data: maximum 5 years after termination of employment (statutory retention period).

Business-related data (incl. contact persons): maximum 10 years after termination of the service.

Email addresses for marketing: indefinitely until the moment of unsubscription.

Data on Encis servers: will be deleted after termination of the service in consultation with the client.

Sharing personal data with third parties

Encis does not sell your data to third parties and will only provide it if necessary for the execution of our agreement with you or to comply with a legal obligation. We enter into a data processing agreement with companies that process your data on our behalf to ensure the same level of security and confidentiality. Encis remains responsible for these processing operations.

Cookies and similar techniques

Encis uses only technical and functional cookies, as well as analytical cookies that do not infringe on your privacy. A cookie is a small text file stored on your device during your first visit. These are necessary for the technical operation and ease of use of the website. You can opt-out by configuring your browser to stop storing cookies and delete previously stored information via your browser settings.

Google Analytics

Encis uses Google Analytics to analyze website usage. The information generated (including your IP address) is transferred to and stored by Google on servers in the United States. Google uses this to track website usage and compile reports for website operators. See the Google Privacy Policy or the specific Google Analytics Privacy Policy for more information.

Google reCAPTCHA

We use the reCAPTCHA service from Google Inc. to protect data sent via the contact form. This function checks if a message is sent by a person to prevent 'spam bots'. The visitor's IP address and potentially other data are sent to Google for this purpose. IP addresses are truncated and anonymized within EU/EEA member states. By using reCAPTCHA, you agree to this data processing by Google.

Social Media

Our website includes buttons to promote ("like") or share pages on networks like Facebook and LinkedIn. These buttons use code from the platforms themselves, which places cookies. We have no influence over this. Please refer to the privacy statements of Facebook and LinkedIn to see how they process your data.

We also use "tracking cookies" to measure the effectiveness of campaigns on our website and social platforms (LinkedIn and Facebook). This information is anonymized but stored on servers in the United States. These platforms adhere to Privacy Shield principles.

Viewing, modifying, or deleting data

You have the right to access, correct, or delete your personal data, or to limit its processing. You also have the right to withdraw your consent or object to the processing and the right to data portability.

You can send a request regarding your personal data to privacy@encis.nl. We will respond as soon as possible, but at the latest within four (4) weeks. We may request proof of identity to ensure the request is legitimate.

You also have the right to lodge a complaint with the national supervisory authority, the Autoriteit Persoonsgegevens.

How we secure personal data

Encis takes data protection seriously and takes appropriate measures to prevent misuse, loss, unauthorized access, unwanted disclosure, and unauthorized modification (e.g., SSL connections, VPN tunnels, VM solutions). Encis is ISO27001:2013 and NEN7510 certified.

Data you share with us is stored exclusively within the EU. If you suspect your data is not properly secured, please contact us at privacy@encis.nl.
